We are seeking an experienced and detail-oriented Construction Office Administrator to join our team.
The ideal candidate will have a strong background in managing a busy construction office and managing accounts payable, accounts receivable, payroll, and human resource departments within the construction industry.
The Construction Office Administrator will be responsible for overseeing all aspects of managing AP, AR, HR and payroll, ensuring accuracy and compliance with regulations.
This role requires excellent organizational skills, attention to detail, and the ability to effectively manage multiple responsibilities and employees.
Responsibilities:
Accounts Payable:
Oversee the accounts payable process and department, including invoice processing, vendor payments, and expense reconciliations.
Review and approve purchase orders, invoices, and expense reports for accuracy and compliance with company policies.
Maintain vendor relationships, address inquiries, and resolve payment discrepancies in a timely manner.
Prepare and analyze accounts payable reports for management review.
Accounts Receivable:
Manage the accounts receivable process and department, including invoicing, billing, and collections.
Monitor customer accounts for overdue payments, follow up on outstanding balances, and resolve billing discrepancies.
Coordinate with project managers and sales teams to ensure accurate and timely billing for completed projects and services.
Payroll Administration:
Oversee payroll processing, ensuring accuracy and compliance with federal, state, and local regulations.
Review and approve timecards, wage calculations, and payroll tax filings.
Address employee inquiries related to payroll, benefits, and deductions.
Collaborate with HR to maintain employee payroll records and update payroll system as needed.
Human Resources:
Assist with human resources functions, including employee onboarding, offboarding, and benefits administration.
Maintain personnel records and ensure compliance with employment laws and regulations.
Support HR initiatives, such as employee training and development, performance evaluations, and policy updates.
Handle employee relations issues and provide guidance on HR policies and procedures.
Requirements:
Bachelor's degree in Accounting, Finance, or related field preferred but not required.
Minimum of 5 years of office management experience.
Experience in the construction industry and familiarity with construction office management (e.
g.
, job costing, lien releases, progress billing) required.
Proficiency in accounting software payroll processing systems, and Microsoft Excel Strong understanding of payroll regulations, tax laws, and compliance requirements.
Excellent analytical skills with the ability to interpret financial data and prepare reports.
Effective communication and interpersonal skills, with the ability to collaborate cross-functionally.
Detail-oriented with a commitment to accuracy and timeliness in all tasks.
Ability to prioritize and manage multiple responsibilities in a fast-paced environment.
